Create a group when several people need the same documents. A group can include documents to sign and documents Available to read. Who can do this: owners and administrators manage group setup. Group Managers can follow up within their assigned groups.

Create a group

  1. Open Groups and click Create Group.
  2. Enter a name, such as Volunteer drivers, and an optional description.
  3. Check Automatic request emails. It is on by default. Turn it off if you want to finish setup before sending requests.
  4. Add a Default Recipient Message if you want the same starting note on requests from this group.
  5. Submit the form.

Add people and documents

  1. Open the group and use Add People on People to select existing people.
  2. Open Documents and use Add Documents to select existing documents.
  3. Review the selection and confirm each addition.
The Documents tab separates Requires a signature from Available to read. Drafts must be published before people can sign or read them. You can also add existing groups from a person’s or document’s Settings. Those changes take effect when you click Save.

Automatic request emails

Automatic request emails sends requests for newly active signature assignments when people or documents are added to a group. Change it in the group’s Settings → Automation. Existing active assignments are not a new assignment just because another group includes the same person and document. Use Send missing to handle gaps. Turning automatic emails off lets you prepare assignments and send later. Turning it on does not send a backlog of existing assignments by itself.
Adding people through CSV imports, Planning Center, or integrations can also trigger a group’s automatic request emails. Check this setting before bringing people into a group.

Send missing requests

Open the group’s People tab and click Send missing when it appears. This sends eligible missing requests for published documents that require a signature. It does not publish drafts or send documents available to read. Use reminders for requests that are already open.

Set a default message

In Settings → Automation, enter Default Recipient Message and save. For example: “Please review and sign these policies before your first shift.” The message is used for automatic group requests and prefilled when you send from the group. You can edit or remove the note before a manual send. It appears in the request email and on the signing page.

Assign Group Managers

In Settings, select the Group Managers who should oversee the group, then save. They must already be team members with the Group Manager role. Group Managers can review completion, send missing requests, send reminders, and view request activity. They cannot change the group’s setup or membership. See team roles.

Remove membership or delete a group

Removing a person or document from a group ends read access granted by that group. Another group may still grant access. Existing signature assignments and requests remain; remove an assignment or cancel a request separately if it is no longer needed. Deleting a group removes the group and its memberships, not the people or documents. Use the delete action in the group’s Settings.
